Job Title: Project Specialist
Department: Lighting
Reports to: Engineering Manager
FLSA Status: Non-Exempt
Position Summary: This position will be responsible for helping to expand
ReGreen’s “Request For Proposal” (RFP) department, so that more projects
can be bid on. 80% of the incumbent’s time will be focused on sourcing
potential Lighting RFP’s, and 20% of time will spent sourcing for potential
solar RFP’s.
Essential Duties and Core Responsibilities include the following. Other
duties may be assigned.
The following functions are related to RFP’s and are weighted at 65% of
overall responsibilities:
‧ Operate the online government RFP search engines/web portals (e.g.
BidSync, PlanetBid, etc.) to identify and qualify potential bid opportunities
for both Lighting and Commercial Solar. This function includes reviewing
system-generated emails and online newsletters, as well as sending bid
summaries to key personnel.
‧ Review bid documents and create work schedule (using MS Excel), and
allocate the resource(s) for each milestone in a bid process (i.e.
pre-qualification > bid walk > RFI > bid proposal form > bonding > contract).
Note: this is a trainable function.
‧ Support Engineering department in the analysis of specific job scope. Be
involved in the project estimate process, which includes plan reading and
cost analysis.
‧ Track bid results and new bid opportunities.
‧ Update bid pipeline sheet (MS Excel).
The following functions are related to Audits & Proposals, and are weighted
at 10% of overall responsibilities:
‧ Record and update the auditor’s schedule (MS Excel).
‧ Participate in site audits with Engineering team.
‧ Maintain DropBox (cloud-based) audit folder.
‧ Update the audit & proposal pipeline (MS Excel).
‧ Help with generating weekly engineering department’s report (MS Excel).
The following functions are related to Help Desk & Project Management, and
are weighted at 10% of overall responsibilities:
‧ Attend daily meetings and review Help Desk tickets.
‧ Oversee and track the progress of each ticket to ensure timely responses.
‧ Collect all daily installation reports from the Project Manager(s).
‧ Support Engineer to confirm installation production, and track project
material ETA’s.
The following functions are related to Research and Development (R&D), and
are weighted at 10% of overall responsibilities:
‧ Search and coordinate potential training events for office personnel (i.e.
training programs offered by utility companies, and/or manufacturers).
‧ Arrange and organize “lunch and learn” office training sessions,
provided by vendors, with a goal of two per month.
The following functions are related to Other Duties as assigned, and are
weighted at 5% of overall responsibilities:
‧ Attend audit/sales meetings.
‧ Create meeting minutes, and update open task lists (MS Excel).

primary must-have skills in MS Excel).

‧ Clean DMV and Background - Must have valid California Driver’s License in
good standing.
‧ Must be able to prove eligibility to work in U.S.
‧ Must be able to pass pre-employment background check (no felony
convictions in past 7 years).
Education/Experience:
‧ High school diploma or equivalent required.
‧ College degree required.

Language Ability: Ability to read, analyze, and interpret technical data and
technical procedures. Ability to read and write reports. Ability to

Computer Skills: To perform this job successfully, an individual should have
knowledge of
word processing software (MS Word), spreadsheet software (MS Excel), and be
comfortable using and navigating the internet.
